On the main application screen of the Communication, a search function (searches even in the content of attachments) and various filter options are available to find the proper messages and activities:
- First decide whether you want to search in your messages or activities. Then go to the corresponding tab "Messages" or "Activities".
- Now enter the search term in the search field and click on "Show search options" to select the following search options:
- Entire Message/Activity: Search in the whole message or activity for sender, recipients, content, content of attachments, subject and categories.
- Recipients: Search only in the To and Cc fields of the message header.
- Sender: Search only in the Sender field of the message header.
- You can additionally limit the search within a date range.
- Click on the Magnifying glass to start the search. With a click on you reset the search parameters.
Use the filter options on the left side under "My Mailbox" and "Show" to narrow down the search results:
My Mailbox for Messages:
Inbox / Sent: Shows you all received and your sent messages. If you search for Sender, no messages which you sent are displayed.
Inbox: Shows you only received messages.
Sent: Shows you only messages which you sent. If you search for a Sender, no messages will be displayed.
Draft: Shows you all saved messages which were not send yet.
Archived: Shows you all messages which were removed from your mailbox for a better overview using the "Archive" button.
My Mailbox for Activities:
Open: Shows you all open messages which were not archived yet. As you can be a sender and as well a recipient of an activity the filters Inbox and/or Sent are not available here.
Archived: Shows you all activities which were removed from your mailbox for a better overview using the "Archive" button.
Draft: Shows you all saved messages which were not send yet like in the message view.
View for Messages and Activities:
All: Shows you all messages or activities without any filter.
Response required: Shows you only all messages or activities were a due date was used.
Unread: Shows you only all unread messages or activities.
Read: Shows you only all read messages or activities
Not filed: Shows you only all messages or activities which were not filed in the folder structure of the Document Management application yet.
With not filed attachments: Shows you only all messages or activities which have files attached which were not yet filed in the folder structure or in the Drawing Management application. Such files were attached from the hard disk of the sender or were send by e-mail from outside of the Project Space. In an open message such attachments are indicated with the icon and can be filed with a click on this icon.
Documented: Shows you only all messages or activities which you send from your e-mail program (e.g. Outlook or Lotus Notes) to your conjectPM mailbox by forwarding messages to the project e-mail address. Find more information in our topic E-Mail Integration.
ONLY if mandatory categories are used in your project (categories are project specific and certain categories are used as mandatory; it could be that there are no categories in your project at all) you can filter your messages according to the mandatory categories. How to use the filter function is shown in our Tutorial Drawing Management in the article Search and Filter Drawings.
To use the filter function, click on the "Messages" (1) tab and then on the link "Filter" (2). The filter criterias are now shown above the messages list on the right side. The search function is not available any more now.
